日本木工機械展/MokkitenJapan2023(Hereafter referred to as “this exhibition”.) exhibitors agreeing to and complying with the conditions stipulated in these regulations and the content of the exhibition guidelines shall participate in the exhibition.
1.Exhibit
Items that can be exhibited at this exhibition shall be approved by the exhibition organizer based on the following scope.
a. Wood processing machinery, forestry machinery, equipment for recycling wood, and related products.
b. Items that are clearly seen as imitations of other company’s products cannot be exhibited.
c. Items currently involved in a patent dispute may not be exhibited.
d. Items that do not match the objectives of this exhibition cannot be exhibited.
2.Exhibitor
Manufacturers, distributors, organizations, etc. in paragraph 1 1).
3.Basic unit size of booth
One booth (3m x 3m = 9m2) shall be the basic unit for application.
However, there may be cases where this is not the case due to the allocation of booths.
* If a partition panel is installed between adjacent booths, the size of one booth is measured from the center of the panel.
4.Exhibit application
a. The deadline for exhibitor applications is March 31, 2023. However, when all booths become fully booked, no more application is accepted even before the deadline.
b. Exhibitors must submit the prescribed exhibition application form to the exhibition office by the deadline.
c. After confirming the contents of the exhibition application, the exhibition office will notify the person in charge of the exhibition that the application has been received, and complete the application.
d. Exhibitors shall enter and register their own “Exhibitor Information” on the official website in accordance with the method and date that will be announced separately.
e. As a general rule, exhibitors are not allowed to cancel or change their exhibits after applying for them. However, if the exhibitor wishes to cancel or change the exhibition, this shall not apply if the organizer is notified in writing of the reason and approval is obtained.
5.Payment of Exhibit Charges
The Organizer will issue an invoice for the total exhibit charge. It must be paid by the due date on the invoice. Any bank transfer fee is to be borne by Exhibitor.
6.Refund of Exhibit charges
a. The exhibition fee already paid, including the exhibition application fee, will not be refunded. However, if the exhibition is canceled due to the circumstances of the organizer, the remaining amount after deducting the total expenses required up to that point will be returned to exhibitors in a fair manner.
b. In the event that the exhibition is canceled due to reasons such as the use of the venue being prohibited to prevent the spread of COVID-19, the organizer will refund the full amount of the Exhibit Charges already paid to the exhibitor.
7.Determining the booth layout
Booth layout will be determined by the organizer based on comprehensive consideration of the number of booths, booth shape, exhibition content, etc. Booth layout will be uploaded on the exclusive webpage for exhibitors by the organizer (scheduled for June 2023). Exhibitors may not object to or request changes in booth location.
8.Prohibition of sale, transfer, etc. of booths
Exhibitors are prohibited from selling, transferring, lending to others or exchanging between exhibitors all or part of their allocated booth space.
9.Exhibitor Manual
“The Exhibitor Manual” describing the details of various regulations and procedures related to exhibition preparation, loading and unloading, operations during the exhibition, booth layout, etc. shall be uploaded on the exclusive webpage for exhibitors.
Exhibitors must comply with this regulations, the “Exhibitor Manual”, and other items stipulated by the Executive Committee.
10.Move-in and out
a. Exhibitors must submit to the exhibition office by the designated deadline the entry/exit notification for exhibits and decorations specified in the “Exhibitor Manual”.
b. The exhibitor office will formulate an overall move-in/move-out plan that comprehensively considers the booth layout, the submitted notifications, etc. Exhibitors shall comply with the start date and time for move-in/out work designated for each based on the overall plan.
c. Installation of exhibit items in the booth must be completed by 18:00 on the day before the exhibition.
d. The exhibitor shall bear the costs of transporting and move-in/out of all exhibits and decorations.
e. Exhibitors must comply with the provisions of the Exhibitor Manual regarding other procedures and rules for move-in/out.
11.Exhibition / Decoration construction
a. For indoor booth, the official contractor designated for this exhibition will install partition panels between indoor booths and adjacent booths. However, those partition panels may not be installed due to space allocation or at the request of both neighboring exhibitors.
b. At the exhibitor’s responsibility and expense, decorations may be applied within the following main regulations.
c.Installation of special decorations must be done within the allocated booth space.
d.Special decorations must comply with the Fire Defense Act. There is no height limit for structures, but two-story buildings cannot be built. Exhibits and structures that are tall require consideration for adjacent booths and advance informal consent.
e.The organizer may order redo any special decorations that violate the regulations. The cost shall be borne by the exhibitor concerned.
f.After the end of the exhibition period, the exhibitor must restore the booth space to its original condition within the removal period. Necessary construction work and expenses for disposal of leftovers shall be borne by the exhibitor concerned.
g.Exhibitors and related businesses must comply with other regulations for decorations of the Exhibitor Manual.
12.Electricity Service
a. For power machine: 200V 60Hz,3-phase current, and for lighting: 100V 60Hz, single-phase current
b. Exhibitors who use electricity in the booth must apply by the deadline specified in the Exhibitor Manual.
c. For indoor booths, the primary-side electrical trunk line work with a total electrical supply amount of up to 5 kW per booth will be constructed by the official contractor. Any construction costs that exceed this allocated amount shall be borne by each exhibitor. Any other special expenses will be borne by the exhibitor concerned.
d. For outdoor booths, all costs for construction the primary-side electrical trunk line work shall be borne by the exhibitor concerned.
e. All costs for the second-side electrical wiring work required for indoor/outdoor booths shall be borne by the exhibitor concerned.
f. If three-phase (200V) is required for indoor/outdoor booths, and if single-phase (100V) is required for outdoor booths, exhibitors must install one earth leakage breaker each by the official contractor. The installation cost shall be borne by the exhibitor concerned.
g. Electricity usage charges shall be borne by the exhibitor concerned.
h. Each charges is specified in the “Exhibitor Manual” and other documents.
13.Demonstration
a. Demonstrations of exhibits may be performed only within the booth and within the following main regulations at the exhibitor’s responsibility.
a-1.Sufficient measures must be taken to prevent fire, smoke, sound, dustproofing, deodorize, heat, prevent infectious diseases, and ensure the safety of humans and property.Drainage of sewage and sewage is prohibited.
a-2.Before bringing in hazardous materials into the indoor booth, submit a cancellation notice in advance, and obtain an on-site inspection and permission from the fire department.
a-3.Exhibitors and contractors must comply with other regulations of the Exhibitor Manual.
b. The organizer may request the restriction or cancellation of the demonstration of the exhibits depending on the admission situation and other circumstances.
c. There are no permanent dust collection and compressed air facilities at the venue, and exhibitors are not allowed to bring compressors into the venue. However, the exhibitor may have the air supply piping work in the booth performed by a contractor designated by the exhibition following the procedures specified in the “Exhibitor Manual” for a fee.
d. Exhibitors may have the installation of water supply and drainage equipment within their booths performed by the official contractor designated by the organizer for a fee following the procedures specified in the Exhibitor Manual. Drainage of sewage and filth is prohibited.
14.Equipment rental
Exhibitors can rent for a fee from vendors designated for this exhibition by following the procedures specified in the “Exhibitor Manual”. Fixed-line telephone/fax and Internet lines can be temporarily contracted and installed in the booth for a fee.
15.Prohibited act
a. Distributing pamphlets, freebies, etc., conducting sales activities such as questionnaires, and leaving materials, etc. outside of the booth allocated by the exhibitor is strictly prohibited.
b. The sale or removal of exhibits during the exhibition period is prohibited. However, books and portable items that can be quickly replenished are excluded.
16.Venue management
The organizer manages the entire venue. However, the exhibitor shall manage each booth and dispose of waste at their own responsibility and expense.
17.Conservation of exhibits
a. Exhibitors shall maintain their exhibits at their own responsibility and expense. However, the organizer and the exhibitor will jointly protect the bonded goods.
b. The organizer will not be held liable for any damages to exhibits caused by theft, loss, damage, fire, or other natural disasters.
18.Compensation for damages
In the event that an exhibitor or its affiliates causes damage to another exhibitor’s booth, the organizer’s operating facilities, venue facilities, or personal injury, the exhibitor concerned shall compensate for it at its own responsibility and expense, and the organizer shall not be held liable. not responsible.
19.Bonded exhibition hall
If there are a considerable number of exhibits directly from foreign countries, the exhibition may be operated as a bonded exhibition hall.
20.Outstanding Technical Awards
Based on the regulations and applications in Japanese for the outstanding technical awards, which are separately stipulated, awards will be given to those that are recognized as excellent among the submitted exhibits. The announce of winners and the award ceremony will be held at the venue during the exhibition.

21.Joint event
The organizer may conduct co-sponsored projects.
22.Public relations
The organizer will mainly publicize and publicize the event as follows.
Posters/pamphlets/official website/newspapers/magazines/booth exchanges with influential overseas exhibitions, etc.
23.Cancellation or change of event due to natural disasters, etc.
The exhibition may be canceled or its schedule changed due to natural disasters or other unavoidable reasons. The organizer will not indemnify the exhibitor for any damages caused by this.
24.Handling of personal information
1)When acquiring personal information at this exhibition, exhibitors must comply with the Act on the Protection of Personal Information and related laws and regulations, and must properly acquire, manage, and operate such information. Exhibitors are responsible for resolving disputes with third parties arising from the acquisition, management, operation and use of exhibitors’ personal information. The organizer will not be held responsible for any such disputes.
2)The organizer shall appropriately manage personal information acquired through the exhibition business activities based on the organizer’s personal information protection policy. The organizer may provide exhibitors’ personal information to the exhibitor’s collaborators. In addition, the organizer shall be able to use it for communication regarding this exhibition and other organizer’s business.
